Calendly alternatives: the short list

The six Calendly alternatives compared here are Trafft, Acuity Scheduling, Setmore, Square Appointments, SimplyBook.me and Amelia, and they differ from Calendly in what the bill counts. Calendly's paid plans charge per seat, meaning a paid user who connects a calendar and hosts meetings; invitees need no seat.

As read on October 8, 2026, Calendly Standard is $12 per seat a month, billed monthly, or $10 a month, billed yearly. Teams is $20 or $16 per seat a month on the same two bases. Trafft counts users (team members) inside the plan instead: Mini is $9.99 a month, billed monthly, for a plan with 3 users included.

Staff included in the plan: Trafft and Acuity Scheduling

Trafft sets a user limit per plan: 1 on Free, 3 on Mini, 5 on Growth, 15 on Professional and 30 on Business. A user beyond the limit is an Additional User, $4.99 a month on Mini with monthly billing. Mini also includes 3 locations, so a second site does not force a plan change.

Rooms and equipment are a separate gate. Trafft's Resource Management books the rooms, chairs or machines a service needs, and it starts on Professional at $49.99 a month, billed monthly. The Calendly pages read do not document shared rooms or equipment.

Acuity Scheduling counts calendars instead, one per person or location. Starter has 1 calendar at $20 a month, billed monthly. Standard allows up to 6 at $34 and Premium up to 36 at $61, both billed monthly. Acuity lists shared resources that can be assigned to classes, and its pricing page names no plan for them.

Free for more than one person: Setmore and Square Appointments

Calendly's Free plan is built around one event type and one calendar connection. Setmore's Free plan covers up to 4 users at $0, and a user is each staff calendar, even without a login. Pro is $12 per user a month, billed monthly, or $5 per user a month, billed annually. Free has no recurring appointments and no 2-way calendar sync.

Square Appointments sets no employee limit, and Square Free has no monthly subscription: you pay processing fees only when you take a payment. Plus is $49 a month per location, per Square's fee table, and the fee applies to each location you run.

Booking inside WordPress or by volume: Amelia and SimplyBook.me

Amelia is a WordPress plugin from the same company as Trafft, as Trafft's own amelia-vs-trafft post says. It is managed from the WordPress dashboard, where Trafft is a hosted account with its own admin section. A license covers a set number of domains (websites), and Starter is $49 a year for 1 domain, from Amelia's checkout price list.

Amelia has a free limited version on WordPress.org and no free trial. SimplyBook.me prices by booking volume, custom features and providers, not by user, and a provider is a staff member who takes bookings. Free allows 50 bookings a month with 1 provider, and Basic counts 100 bookings and 5 providers. SimplyBook.me says no credit card is needed to start its 14-day trial.

How to move off Calendly

Trafft documents one way in: a customer list imported from a CSV file, on Mini and up. Leave out the header row and write phone numbers with a + and the country code. When an email matches an existing customer, Trafft asks whether to override the data or skip the import, and override overwrites what is already stored. Trafft documents no import of past appointments.

Calendar sync can run beside Calendly while you switch. On Mini and up, Trafft syncs with Google Calendar both ways: busy times in Google block availability in Trafft, and appointments created in Trafft appear in Google Calendar. The Free plan has no calendar sync and no customer import, so a team leaving Calendly starts on Mini.

Who should pick which Calendly alternative

  • Trafft for a team that wants users, locations, reminders and a booking website in one plan; Mini includes 3 users and 3 locations.
  • Setmore for up to 4 users on a Free plan.
  • Square Appointments for many staff at one location, because no employee limit applies.
  • Acuity Scheduling for a business that prefers to pay by calendar and accepts a 7-day trial, with no card needed, in place of a free plan.
  • Calendly itself for one-to-one scheduling on one calendar, which its Free plan covers.
