Free plans for one person: Trafft and Calendly

Trafft's Free plan has no time limit and includes 1 user, 1 location and 100 appointments a month, plus a booking website and 200 email notifications a month. It has no calendar sync, group bookings or deposits. Resource Management, which books the rooms, chairs or machines a service needs, starts on Professional at $49.99 a month, billed monthly.

Calendly's Free plan is capped by event types instead: one event type and one calendar connection. Standard is $12 per seat a month, billed monthly, where a seat is a paid user who connects a calendar and hosts meetings. Rooms and equipment do not appear in the Calendly pages read.

Free plans for a team: Setmore and Square Appointments

Setmore's Free plan covers up to 4 users and has no recurring appointments. A user is each staff calendar, so a fifth calendar means Pro, at $12 per user a month, billed monthly. Square Free has no monthly subscription, only processing fees when you take a payment, and Square Appointments sets no employee limit.

Square's fee table lists Plus at $49 and Premium at $149, each a month per location, and resource management sits on Premium only. Square's help article adds that a resource can only be assigned to one business location. A free 30-day trial comes with both paid tiers.

SimplyBook.me: a free plan counted in bookings

The SimplyBook.me Free plan is counted in bookings: 50 a month, with 1 provider, meaning a staff member who takes bookings. Paid plans count booking volume and providers, not users, and the prices are on SimplyBook.me's own pricing page. After its 14-day trial an account can stay on Free under 50 bookings a month and one custom feature, SimplyBook.me says.

Its Related Resources feature connects rooms or equipment to a service. The system allocates the resource automatically, so a client does not pick it during booking. SimplyBook.me's pricing page also lists HIPAA among its available options.

What you give up when you leave Acuity

Two documented things: a signed HIPAA agreement and shared resources assigned to classes. Acuity's Premium card lists a signed Business Associate Agreement (BAA) and describes it as enabling HIPAA compliance. Trafft's pages read state nothing about HIPAA, so a practice that relies on Acuity's BAA should not count on Trafft for one. Whether a clinic needs a BAA is a legal question this guide does not answer.

Acuity says its shared resources can be assigned to classes, and its pricing page names no plan for that. Trafft's pricing FAQ says that once its 14-day trial ends you can keep the Free plan or upgrade.

Who should pick which Acuity alternative

  • Trafft for one person who wants a Free plan now and may need rooms later, from Professional.
  • Setmore for a team of up to 4 that wants to start at $0.
  • Square Appointments for a free tier where card processing fees are the only cost.
  • Calendly for one person who needs a single event type on one calendar.
  • Acuity Scheduling itself for a practice that wants a signed BAA: Premium is $61 a month, billed monthly.

Trafft vs Acuity has the plan-by-plan view of the first pick, free appointment scheduling software sets all six free plans in one table, and Calendly alternatives covers the per-seat case.
