An external calendar connection needs its own acceptance test

Last materially reviewed 2026-09-23

Quick answerA connected calendar is not proof that every conflict, cancellation or delayed update is handled as you expect.
What to know

Define the direction of information

Write down whether an external event should block booking availability, whether a new appointment should appear externally and whether edits should travel in both directions. These are separate requirements. Do not treat the word synchronization as an answer to all of them. Trafft’s calendar documentation provides a starting point, but this guide does not verify your account’s connection, permissions, refresh timing or behavior for every calendar provider.

What to know

Use harmless test events

In an authorized test calendar, create fictional busy intervals without customer information. State whether a booking overlapping each interval should be offered. Test an ordinary event, an all-day event and an edited event if those are relevant to your workflow. Avoid using private calendar contents as demonstration data. The purpose is to observe availability behavior, not to copy personal event descriptions into a public report or another tool.

What to know

Check change and failure behavior

A connection that works once may behave differently after an event changes or access expires. Record the observed update delay without converting one observation into a guaranteed service level. Decide how staff notice a disconnected calendar and which schedule they trust during recovery. We do not claim automatic recovery or perfect real-time synchronization. If two systems disagree, stop treating both as independent sources of confirmed availability until the conflict is resolved.

What to know

Keep a single operational source of truth

Choose which record controls customer commitments and document the role of the other calendar. Staff should not have to guess whether deleting a copied event cancels the actual appointment. Confirm that behavior through documentation and a controlled test before relying on it. If the integration cannot meet the essential requirement, a manual review route may be safer than promising instant confirmation based on a calendar whose state is uncertain.

Next: A booking collision test you can explain to the team

Test the last available resource and a non-conflicting request; accepting everything and blocking everything are both failures.
