Setmore suits a free start with up to 4 users, Acuity Scheduling a signed HIPAA agreement, and Calendly one-to-one meetings.

Trafft: staff, rooms and equipment in one booking

Trafft's Resource Management books the rooms, chairs or machines a service needs, and its help center says Trafft checks resource availability before confirming a booking. Resource Management starts on Professional at $49.99 a month, billed monthly.

The Free plan has 1 user, 1 location and 100 appointments a month. Mini adds 3 users (team members), 3 locations, group bookings and calendar sync at $9.99 a month, billed monthly, or $7.99 a month, billed annually.

Deposits also start on Professional. Trafft sends email reminders on every plan. Texts use SMS credits, included on Professional and Business and bought separately on Free, Mini and Growth. Trafft states nothing about HIPAA on the pages read.

The paid features can be tried for 14 days, and once the trial ends the account can keep the Free plan or upgrade, per Trafft's pricing FAQ.

Calendly and Setmore: per-seat and per-user scheduling

Calendly Free includes one event type and one calendar connection. Standard is $12 per seat a month, billed monthly, or $10 a month, billed yearly. A seat is a paid user who connects a calendar and hosts meetings; invitees need none.

Setmore's Free plan covers up to 4 users, and a user is each staff calendar. Pro is $12 per user a month, billed monthly, or $5 per user a month, billed annually, and its team members get 500 SMS credits a month, Setmore says. Setmore sends 1 reminder on Free and 2 on Pro.

Acuity Scheduling and Square Appointments: per calendar and per location

Acuity Scheduling counts calendars: Starter has 1, Standard up to 6 and Premium up to 36, at $20, $34 and $61 a month, billed monthly. A signed HIPAA Business Associate Agreement (BAA) is listed on Premium, and Acuity says shared resources can be assigned to classes. Its Standard and Premium cards list text reminders, and Starter lists email reminders only.

Square Appointments charges a monthly fee per location, $49 on Plus and $149 on Premium per Square's fee table, and sets no employee limit. Resource management is on Premium. Square lists appointment reminders and deposits on every tier, and a cancellation policy with no-show fees on Plus and Premium but not on Free.

SimplyBook.me and Fresha: prices on the vendor's page

Neither SimplyBook.me nor Fresha was shown in US dollars, so this list gives them no figure and points to each vendor's own pricing page. SimplyBook.me prices by booking volume and providers, a provider being a staff member who takes bookings. Its Free plan allows 50 bookings a month with 1 provider.

Fresha charges per bookable team member, meaning a staff member with calendar bookings switched on: Independent is for one, Team for several. It gives teams a 7-day trial with no credit card required, and it says it charges no booking fee for each appointment.
