Practical guide

A recurring appointment is a series of capacity checks

Last materially reviewed 2026-09-23

Quick answerValidate every occurrence of a recurring series; one available first appointment does not establish the rest.
What to know

Start with the commitment you intend

A weekly service is not simply one appointment with a longer label. It creates several commitments across dates when staff, rooms or equipment may differ. Define whether the customer is requesting all occurrences or whether each requires confirmation. The distinction matters when a holiday or maintenance interval interrupts the sequence. Do not imply an entire series is guaranteed merely because the first date appears available on the booking page.

What to know

Check the product’s current series rules

Trafft publishes recurring-appointment documentation. Read it alongside resource and availability settings for the actual configuration you intend to use. This article does not claim that every occurrence is automatically resolved in the way your business prefers. Identify what happens when one date conflicts, when the horizon ends and when a participant later changes a single visit. Those questions are more useful than a generic recurring-bookings feature check mark.

What to know

Build a deliberately awkward example

Use a fictional four-visit series in which the first date is free, the second overlaps a room reservation, the third falls on a day off and the fourth is ordinary. State the expected result for each occurrence before testing. Then change only one date and inspect the rest. These are proposed acceptance cases, not observed merchant results. They expose whether the workflow handles exceptions clearly instead of silently replacing or dropping commitments.

What to know

Plan for later changes

A series can outlive a staff assignment or resource configuration. Keep a method for locating future affected appointments when capacity changes. Decide who contacts customers and how an isolated change is distinguished from a series-wide change. Avoid editing an entire sequence just to fix one date without reviewing the consequences. If the system’s behavior remains unclear, use assisted scheduling for the series until the operating team can explain and verify the result.
