Practical guide

Available staff are not always eligible staff

Quick answerBuild availability from people who can deliver the selected service, not from every employee with an empty calendar.
What to know

Name the qualification boundary

A fictional studio may have several employees present while only some are trained for a specific service. A booking model should represent that distinction before counting capacity. Record the service-to-person relationship without adding sensitive personnel details to public examples. The customer needs an appointment that can be delivered, not a mathematically empty slot. A spare room and unused equipment do not compensate for the absence of an eligible provider.

What to know

Separate assignment from working time

Trafft documents employee and service configuration as related parts of setup. Our recommended checklist separates whether a person is assigned to a service from whether that person is working during the requested interval. Test those conditions independently. If an appointment is missing, adding working hours will not necessarily resolve an unassigned service. If a person should not offer that service, expanding their calendar is the wrong way to make more slots appear.

What to know

Use a controlled substitution case

Create a fictional appointment with one eligible employee absent and another available. Decide whether the second employee is an acceptable substitute before testing the booking path. Then remove the substitute from that service and confirm the expected no-availability result in your test environment. These are proposed checks, not results from a merchant trial. They reveal whether a pooled staff count has hidden a service-specific qualification requirement.

What to know

Plan for maintenance of assignments

Someone must update the booking configuration when training, service offerings or working arrangements change. Give that responsibility a named operational owner and keep a short change note. Avoid broad copying of one employee profile to another without reviewing service eligibility and location. If the booking system cannot express an essential qualification rule, route the affected appointment through a human review step rather than presenting it as automatically confirmed capacity.
